Hosting a Party Checklist Guide | Irvine Moms

Nellie Mun of RSVP Event Space

I love hosting parties.  I’ve been planning and coordinating weddings and events for years, and always wanted to have a space where people can gather and create memories.  So when the opportunity came along to open my own venue with a cool brick wall in Downtown Fullerton, I jumped at the chance!

If you’re planning a party, or even a wedding, there is so much inspiration out there, countless ideas and resources that can easily overwhelm you, so it’s a good idea to start with the basics.

Who or what are you celebrating?

A birthday?  A bridal or baby shower? An anniversary?  A graduation? A promotion?

What’s your budget?

Set aside a dollar amount and do your best to stick to it.  Are you footing the bill alone or sharing financial responsibility with others?

How many guests are you inviting?

Make a guest list to help you determine the size of the venue you need, and how much you will be able to allocate per person.

Where will it be?

Taking the occasion, the time of year, the guest count, and your budget into account, helps to direct you to the type of venue you will need for your event.  Does the venue have an exclusive caterer, can you hire your own caterer, can you bring your own food and beverage, what are their requirements, what do they include, and what do you need to bring?

What kind of food and beverage will you serve?

If the venue includes catering, you just have to choose from their menu.  But if you have the option to bring your own food or choose your own caterer, will you have a sit down meal, buffet or plated, interactive stations, cocktails and hors d’oeuvres?  What types of beverages will you serve, sodas and juices, beer and wine, signature cocktails, a full bar? How elaborate are you willing to go with the desserts? Also consider how the food and beverage will be presented, what will the display look like?  Will you need linens, serving pieces, and place settings?

How will you decorate?

This is where it can be really fun or really stressful.  If you have the budget, you can have specialty rentals, hire a professional to create incredible balloon arches, beautiful flowers, personal name signs, and live art at your event.  If you don’t have the budget to do everything you want to do, incorporate one or two things, and do them well. Use your money wisely, highlight what’s important to you. DIY where you can to save money, but don’t over DIY.  There are certain things that are not worth the trouble and it might not turn out the way you want.

Take on projects you enjoy and don’t stress about the little things.  Give yourself plenty of time to prepare and don’t forget to set aside some time to get ready so feel good when you greet your guests.  Whatever your situation, remember to relax and have fun.
